How to Create Time Off Request Policies
Creating your Time Off Request policies is simple. Follow these steps to get started:
Access Your Company Settings
Log into your goLance account and click on My Companies at the top of the page. Select your company, then navigate to the Time Off Settings tab.
Select a Policy Category
Choose the policy category you wish to create (e.g., Vacation, Sick Leave) and click Add Policy.
Enter Policy Details
Complete all required fields regarding the policy name and description, then click Next.
Configure Allowance Details
Input the specific details regarding the time off allowance, such as accrual rates or annual limits.
Use these settings to define how time off is earned, compensated, and managed for contractors.
1. Entitlement Cycle
Choose when the time off cycle starts and resets for this policy:
Calendar Year: The time off balance starts on January 1st and resets on December 31st every year.
Contract Anniversary: The time off balance starts on the day the person is hired and resets a day before their anniversary every year.
2. Compensation
Choose whether contractors are compensated for requested time off:
Paid: All days requested under this policy will be paid.
Unpaid: No days requested under this policy will be paid.
3. Time Off Allowance
Choose whether contractors receive a limited or unlimited time off allowance:
Fixed Allowance: Contractors receive a set amount of time off they can request per cycle.
Allowance Details
Specify the exact amount of time off permitted under a fixed allowance policy:
Annual Allowance: Enter the numerical limit (e.g.,
10).Unit: Select the unit of measurement from the drop-down menu (e.g.,
DaysorHours).
Is negative time off allowed?
Determine whether contractors can exceed their set balance:
Yes: Contractors can request additional time off on top of their allowance.
No: Contractors cannot request additional time off on top of their allowance.
4. Time Off Carryover
Enable the Allow carryover toggle to let contractors roll over unused time off into the next cycle.
Carryover Limits
Choose how much unused time off can be rolled over:
Limited time: Contractors can carry over a specific amount of unused time off.
Unlimited time: Contractors can carry over all unused time off.
Carryover Allowance Details
If Limited time is selected, specify the roll-over limits:
Carryover allowance: Enter the maximum roll-over amount (e.g.,
2).Unit: Select the unit of measurement (e.g.,
DaysorHours).
Set Rules and Instructions (Optional)
Add any specific request rules or instructions for your team if necessary. If not, simply click Next.
The Requests rules configuration allows administrators to set requirements and provide guidance for users when they submit new requests. You can customize these options to ensure you collect all necessary details upfront.
Rule Settings Breakdown
Include instructions: Turn this toggle on to display custom guidelines or context to help users complete their requests accurately.
Providing a written explanation is required: Enable this option to make a text details/rationale field mandatory before a user can submit a request.
Uploading attachment is required: Toggle this on to mandate that users upload supporting documentation, screenshots, or files alongside their request.
Assign an Approver
Select the company member responsible for approving requests for this specific policy. Once selected, click Add Policy at the bottom.
Manage Your Policy
Your new policy will now appear in the list. From here, you can view, edit, activate, or deactivate it as needed.
View, Activate and Deactivate
If you are ready to go, Activate the policy. You can then begin enrolling your contractors and setting their individual allowances.
Enroll Freelancers to policies
Select the freelancers you wish to add, enter their starting balance, and click Enroll. You can remove and re-add members at any time if adjustments are needed. With this feature you may select multiple contracts in bulk to add them to a policy.
Remove Freelancers from policies
To remove a freelancer from the Time Off Request policy, simply click the three-dot menu and select Remove. To prevent accidental deletions, bulk removal is not currently supported.
